Privacy notice

How information is handled on the Mobibus website and, when enabled, by its AI Sales Employee.

Who this notice concerns

This notice concerns the Mobibus website, its contact and demo forms, and its optional AI sales chat. Mobibus’s published business information identifies the legal entity as mobibus société en nom collectif à responsabilité limitée, based in Montréal, Québec, Canada, with Québec Enterprise Number (NEQ) 3379407110.

An AI assistant

When chat is enabled, you interact with an AI assistant. Its answers can be incomplete or incorrect and do not constitute a binding offer. You can use the website’s Contact or Book a Demo pages to ask the team for follow-up. Do not send passwords, payment information, or sensitive personal information through chat.

Information collected and why

The website’s contact and demo forms collect your name and email address, plus any company, role, and message you choose to provide, so the team can respond to your request. These website submissions are sent through the configured email or webhook delivery service.

The optional chat uses Mobibus’s existing sales infrastructure. Its contact and demo forms collect your name and email address, plus any company, phone number, and message you provide. Chat processes your messages, replies, language, session information, and business needs. The sales system stores conversation records and can record lead details, qualification information, summaries, consent evidence, and follow-up tasks for the team. Form details are also included in follow-up tasks. If an email matches an existing identity that the visitor’s session does not own, the inquiry is stored separately rather than attached to that person’s lead.

The website records landing paths, referring site origins, campaign or referral codes, and visit timestamps in this browser to understand how visitors find Mobibus. This information accompanies website form requests. Campaign and referral codes may also be forwarded when you follow a configured booking link. Chat receives language, a page identifier, and limited campaign, landing-path, and referrer information; it does not receive the website’s representative referral code. Network information, including IP addresses, is processed for chat abuse controls.

AI processing, service providers and logs

When AI responses are enabled, OpenAI helps generate them from recent conversation text and relevant business and qualification context. Personal information you type in a message can be included; messages are not automatically anonymized before this processing. The sales service processes the response and may record conversation details or request human follow-up.

Technical request logs record details such as request paths, query parameters, response status, timing, and errors. AI usage logs record the provider, model, token counts, and timing. Personal information included in URLs or diagnostic errors can therefore appear in logs. The platform supports optional error monitoring. If enabled in production, it may process personal information contained in diagnostic errors.

Browser storage and retention

The website’s attribution record has a 90-day validity window from the first recorded visit; the site discards an expired record when it next reads it.

When chat is used, its separate browser storage can hold a session token, up to 30 recent messages, and the public consent notices. The widget caps the stored record’s validity at 24 hours, or the session expiry if earlier, and removes an expired record when next read. It does not save the separate contact/demo form fields in this browser record; personal information typed into chat may still be in the saved messages.

“Clear conversation” removes the chat copy from this browser and resets the visible conversation. It does not send a server-deletion request. Session expiry likewise does not delete the server’s transcripts, leads, follow-up tasks, consent evidence or derived records. Browser validity limits are not server retention periods.

Consent and your requests

The chat’s contact and demo forms require you to check a consent box before sending your request. That consent covers sales follow-up about your request; it is not a newsletter or marketing subscription. If the notice changes, the form asks for consent again. This form consent is separate from the processing of messages you send in chat.

For questions about your information, requests for access, correction or deletion, or requests to stop follow-up, email privacy@mobibus.com and describe your request. Avoid sending additional sensitive information. The current chat does not provide a self-service control to erase server records.
